+ **Location: Cambridge, MA**
+ **Duration: 4 months (It could extend after the budget approval)**
+ **Work Schedule: Monday–Friday, 40 hours/week (Overtime allowed, up to 5 hours/week)**
+ **Pay Rate Range:** **$25 - $30/hr**
**The ideal candidate must have:**
+ Excellent organizational, interpersonal, and communication skills
+ Strong judgment, problem-solving, and project management abilities
+ Ability to adapt quickly in a dynamic environment
+ High confidentiality, fairness, and professionalism
+ Solid time management and prioritization skills
+ Strong MS Office skills (Outlook, Excel, PowerPoint, etc.)
+ Ability to lift up to 50 lbs (occasionally)
**Key Responsibilities**
**1. Team Management Support**
+ Serve as the first point of contact for all administrative needs
+ Manage purchases, invoices, and expense reports
+ Order supplies, equipment, and event/morale items
+ Assist with new hire onboarding and setup
+ Provide offboarding support for departing members
+ Manage distribution lists, security groups, and Teams groups
+ Support leadership team administrative requests
**2. Calendar Management**
+ Provide strategic team calendar management and planning
+ Schedule team-wide meetings, trainings, all-hands, morale events, and stakeholder reviews
+ Coordinate with executive admins for project meetings
**3. Cohort Onboarding Planning & Execution**
+ Lead onboarding logistics for MAIDAP cohorts
+ Communicate with new hires prior to start date
+ Manage equipment orders, catering, desk assignments, and accommodations
+ Serve as primary contact for post-onboarding questions (badges, transportation passes, desk/equipment requests, etc.)
**4. Event Coordination & Logistics**
+ Plan and support events (all-hands, morale, training, leadership offsites, hackathons, GIVE, onboarding/graduation events)
+ Handle logistics: invitations, room booking, catering, AV/tech support, setup/breakdown
+ Provide onsite event troubleshooting
**5. Space Management & Planning**
+ Oversee space management processes (desk assignments, conference rooms, seating, office moves)
+ Maintain space maps, coordinate PC recycle pickups, and resolve space-related requests
+ Drive space changes based on utilization and organizational shifts
**Candidate Requirements**
+ **Experience:** Minimum 5 years in related field
+ **Degree/Certification:** Not required
+ **Disqualifiers:**
+ Extensive executive assistant experience
+ Inability to provide references
**Ideal Candidate Profile**
+ Independent, proactive, and detail-oriented
+ Strong time-management skills
+ Office manager or entry-level admin experience preferred
+ Eager, resourceful, and able to handle fast-paced environment with minimal direction
