Job Description

ResponsibilitiesServe as a welcome face for the organization, professionally representing the corporation and organization while communicating with internal and external customers and executives.Perform office functions such as arranging meetings and conferences, reserving conference rooms, managing conflicting Outlook calendars, creating and managing Outlook invites, and coordinating meals if necessary.Maintain business rhythm and infrastructure support, including managing weekly and monthly rhythm meetings, reviewing and purging invite lists and email distributions, housekeeping network share/SharePoint/Teams permissions and folder structure, providing examples and templates, and assisting in building organizational charts, bios, and program announcements.Arrange domestic and international travel and prepare expense reports.Assist in event planning, site visits, tours, and activities of major organizational initiatives and reviews.Operate independently to meet leadership team requirements and offer expertise to assist other functions within the organization.Maintain the organization's collaboration electronic sites and department and programmatic folders.Follow up on open actions to ensure deadlines are met and gather, compile, and report on information relevant to supervisor assignments.Provide operational support for special projects, research and obtain information, and help plan and ensure follow-through of assigned tasks.Collect, organize, and distribute mail for the support team.Purchase necessary supplies and maintain inventory within the allotted budget.Gather, compile, and report on information relevant to supervisor assignments in a timely and accurate manner.Essential SkillsHigh school diploma or GED and 2 years of experience in a customer support or administrative assistant role.Experience coordinating meetings and other events/activities using Outlook and Microsoft Teams.Proficiency in MS Office tools, including PowerPoint, Excel, Word, SharePoint, and Teams.Experience working with travel agencies to coordinate itineraries for domestic and international travel.U.S. citizenship is required.Work Environment

This position is located in an office environment with flexible work arrangements offering either a 4/10 or 9/80 schedule. The role involves exposure to a wide variety of projects and customers, fostering a friendly and collaborative team environment. The site supports the American Warfighter and partners worldwide, providing the opportunity to join a top defense contractor with long-term stable government customers and contracts.

Pay and Benefits

The pay range for this position is $21.00 - $26.00/hr.
