Administrative and Bid Coordinator Job ID 256876 Posted 20-Jan-2026 Role type Full-time Areas of Interest Administrative, Consulting Location(s) Riyadh - Ar Riyad - Saudi Arabia **About The Role** As a CBRE Administrative and Bid Coordinator, you will provide support to the KSA Consulting department. You’ll be responsible for providing administrative support to the team including team operations, finance invoicing, tracking and reporting as well as business development. **What You’ll Do** Operations and Financial support + Creating new project folders, onboarding new clients following Compliance and Finance team requirements. + Archiving project information including RFP process, contracts, deliverables, purchase orders and invoices. + Tracking of team financials including monthly reporting of invoicing and accruals to Finance. + Maintain invoicing logs, fee shares and manage invoicing process with Finance in coordination with the project lead. + Tracking and monitoring of suppliers / subconsultants including onboarding, invoices processing and follow up and coordination of subcontract negotiations with CBRE Legal counsel. + Any other administrative support required by the team leadership including coordination with other teams within CBRE or direct client communications as examples. Business Development support + Tracking of business opportunities, logging opportunities on to Salesforce, following up with the team for key dates: sending queries, extension of time, job explanation meetings. Once proposals are submitted, request updates from the client on the award process on a regular basis. + Checking client supplier platforms regularly, uploading required information for bidding processes including company information or proposals. + Prepare key elements of proposals and follow up with proposal lead for pricing and scoping. + Content and Collateral creation, including design, write up, and manage essential sales materials such as pitch decks, presentations, brochures, case studies ensuring all materials are professional and on brand. + Work closely with the team for pitch presentations to win proposals and pitch decks. **What You’ll Need** + Bachelors degree with 5 years of job-related experience + An established understanding of work routines and standards and applying skills and knowledge in a range of processes, procedures, and systems are required. + Requires intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval. + Advanced knowledge of Microsoft Office products.
