Temporary Admin Specialist
**Location: Sants Clara**
**Pay Range: $30 an hour**
**Position Duration:** January 5, 2026 – February 27, 2026
**Schedule:** Monday – Friday | 8:00 AM – 5:00 PM | 40 hours/week
**Position Overview**
The Site Services Coordinator provides essential operational support to ensure the smooth daily functioning of the facility. This position is responsible for facility coordination, health and safety support, administrative tasks, and front-line customer service for students, instructors, staff, and visitors. The ideal candidate is detail-oriented, highly organized, and able to handle a wide range of tasks in a fast-paced environment.
**Job Responsibilities**
**Facility Support & Coordination (30%)**
+ Check and maintain inventory of coffee, office supplies, and custodial supplies; place orders as needed.
+ Unlock classrooms daily and other rooms as required.
+ Lock conference rooms at the end of each day.
+ Post printed class signs at all operating classrooms.
+ Organize class signage for the next day.
+ Create weekly UNEX and BE class schedules for the lobby TV monitor.
+ Publish new marketing videos on the lobby monitor.
+ Create, print, and laminate signage for the building and classrooms as needed.
+ Assist in coordinating events, room reservations, and site logistics.
+ Store, oversee, and manage lost & found items.
+ Report building or security-related concerns; contact security for schedule updates.
**Health & Safety (15%)**
+ Check in on UNEX flexible classes to verify instructor arrival.
+ Notify Academic Services when an instructor does not arrive for an in-person class.
+ Assist with temporary badge returns and ensure adherence to site security processes.
+ Support facility safety by monitoring spaces and reporting issues promptly.
**Administration (25%)**
+ Stamp outgoing mail and hand off to the USPS carrier daily.
+ Prepare, package, and label outgoing FedEx shipments; schedule pickups.
+ Read and respond to email inquiries.
+ Create conference room calendars monthly.
+ Review EMS daily for reservation and account requests.
+ Update Google Calendars with room bookings and reservation changes.
+ Delete/edit flexible classes on Google Calendar according to Academic Services updates.
+ Create quarterly flexible classroom assignments and communicate scheduling conflicts.
+ Collaborate on quarterly classroom assignments for Baskin Engineering; update BE Google Calendar.
+ Assist with room space planning for AP testing (UC Scout).
+ Create and print UNEX student ID cards.
+ Print certificate/specialization flyers for the lobby.
+ Update internal phone lists as needed.
+ Attend weekly Huddle Meetings to provide operations updates.
**Customer Service (30%)**
+ Provide in-person support to instructors, staff, prospective students, and current students.
+ Answer phone calls and direct inquiries to the appropriate department.
+ Provide information on classes, certificates, and facility-related questions.
+ Work closely with the IT team to support instructional technology needs.
+ Display daily classroom schedules on the lobby TV.
+ Prepare and restock coffee, tea, cups, sugar, creamer, and related items.
**Other Duties as Assigned**
+ Support other administrative or operational needs as required.
**Required Qualifications**
+ **Excellent customer service skills** with the ability to communicate clearly and professionally.
+ **Excellent computer skills** , including proficiency with email, calendars, document creation, and general office software.
+ **Exceptional attention to detail** and the ability to multitask effectively.
+ Strong organizational and time-management abilities.
+ Ability to work independently and collaboratively with multiple departments.
+ Comfortable handling a mix of administrative, logistical, and customer-facing responsibilities.
