Activation Project Analyst
Job Description Insight Global is looking for an Activation Project Analyst that will be supporting one of our top clients in the Sacramento area. The Activation Project Analyst provides proactive, high-level analytical and coordination support to the full Activation Team across all project phases—from early planning through go-live and stabilization. This role is responsible for synthesizing discussions into actionable outputs, maintaining project artifacts, tracking issues and risks, and anticipating team needs based on historical context, prior decisions, and activation milestones. The ideal candidate is not only highly organized and detail-oriented, but also demonstrates strong situational awareness, critical thinking, and the ability to anticipate next steps—helping the Activation Team stay aligned, informed, and on schedule. Job Responsibilities: Activation & Program Support • Serve as a central support resource for the Activation Team, attending recurring and ad hoc meetings across clinical, operational, facilities, IT, equipment, and support services. • Translate meeting discussions into clear, actionable outputs, including: o Meeting minutes with decisions, action items, owners, and due dates o Updated work plans, task lists, and milestone trackers o Issue, risk, and decision logs • Anticipate upcoming needs based on prior meetings, project phase, and activation history (e.g., identifying missing inputs, unresolved dependencies, or emerging risks). • Proactively flag inconsistencies, gaps, or misalignments between workstreams. Work Plan & Task Management • Support development, maintenance, and refinement of activation work plans across all functional areas. • Track task progress, dependencies, and completion status; follow up with task owners to ensure accountability. • Assist with sequencing and prioritization of tasks to align with activation milestones and readiness reviews. • Maintain version control and ensure alignment across schedules, work plans, and meeting outputs. Issue, Risk, and Decision Tracking • Maintain and update project logs, including: o Issue Log o Risk Register o Decision Log o Action Item Tracker • Ensure issues are clearly documented with background, impact, owner, mitigation strategy, and resolution status. • Identify trends or recurring issues and escalate to the Activation Lead as appropriate. • Support preparation for escalation discussions and governance forums. Presentation & Documentation Development • Develop, update, and format PowerPoint presentations for: o Activation team meetings o Executive and governance updates o Readiness reviews and milestone checkpoints • Convert complex discussions into clear visuals, summaries, and structured narratives. • Ensure presentations align with activation framework, terminology, and reporting standards. • Prepare supporting documentation, templates, and reference materials as needed. Communication & Coordination • Support consistent communication across activation workstreams by ensuring information is accurately captured and distributed. • Coordinate meeting logistics, agendas, and pre-reads in collaboration with the Activation Lead. • Maintain organized repositories for activation documents, ensuring accessibility and clarity. • Act as a continuity resource—retaining historical knowledge of decisions, rationale, and prior discussions. Analytical & Anticipatory Support • Apply project analysis skills to identify: o Dependencies between teams or deliverables o Schedule risks and readiness impacts o Areas requiring clarification or additional planning • Ask clarifying questions and propose next steps based on understanding of activation goals and constraints. • Support data gathering, validation, and synthesis for activation planning and reporting. Typical Tasks & Deliverables • Meeting agendas, minutes, and action item summaries • Master activation work plan updates • Issue, risk, and decision logs • Executive-ready PowerPoint decks • Readiness checklists and milestone trackers • Crosswalks between activation activities, owners, and timelines • Status reports and summary dashboards Compensation: $30/hr to $35/hr. Exact compensation may vary based on several factors, including skills, experience, and education. Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Skills and Requirements • 3–7 years of experience in a Project Analyst, Project Coordinator, or Program Support role—preferably in healthcare, construction, or complex operational environments. • Demonstrated experience supporting multi-disciplinary project teams. • Advanced proficiency in Microsoft PowerPoint, Excel, and Word. • Experience supporting healthcare activation, transition planning, or large capital projects. • Familiarity with project management methodologies and tools. • Experience working with issue/risk tracking and readiness planning. • Strong understanding of clinical and operational workflows (preferred but not required). • Strong Smartsheets experience
