Job Description

The Accounts Receivable Specialist plays a crucial role in managing the company’s receivables, with a primary focus on collections, dealer communications, and cash application. This position requires excellent follow-up skills, attention to detail, and the ability to work collaboratively with both internal teams and external partners, including dealerships and finance companies. It involves proactive outreach and problem-solving to ensure timely payments and accurate billing.

ResponsibilitiesManage high-volume daily cash application and reconciliation.Serve as the primary point of contact for dealer invoicing and accounts receivable inquiries.Conduct proactive follow-up with dealers on outstanding balances—primarily soft collections and invoice resends.Distribute Manufacturer’s Statement of Origin (MSO) documents to dealerships.Coordinate funding requests with third-party finance companies; assist with EDI setup and troubleshoot issues with smaller finance partners.Support credit hold resolution by assisting with credit availability checks and approvals.Prepare and coordinate monthly dealer refund credits for accounts payable processing.Process debit and credit memos accurately.Manually bill service literature and quarterly charges when not handled through automated systems.Maintain organized dealer correspondence files and prepare all related AR documentation.Collaborate with internal departments to resolve billing discrepancies and improve AR processes.Essential SkillsStrong understanding of debits and credits.Proficiency in Microsoft Office Suite.Excellent communication and customer service skills.Detail-oriented with strong organizational and follow-up abilities.Experience with cash application and collections.Accurate data entry and ten-key proficiency.Ability to troubleshoot and resolve EDI or billing issues with finance companies.Additional Skills & QualificationsHigh school diploma required; some college coursework preferred.Minimum of 3 years of experience in accounts receivable, billing, or accounting.Experience with ERP/Accounting Software like SAP or Oracle.Understanding of electronic data interchange (EDI) systems.Work Environment

The role offers a hybrid work model with three in-office days per week (Wednesday is mandatory, other two days are optional). The first month will require working in the office every day. The Accounting & Finance department consists of a Director, Accounting Manager, Staff Accountant, two Payables roles, and this Accounts Receivable role. Collaboration is key, with partnerships involving District Sales Managers, District Parts Managers, Technical Services Managers, and Dealer Development Teams, as well as Parts Distribution Center Customer Service and Dealer Bookkeeping and Accounting Departments.

Pay and Benefits

The pay range for this position is $25.00 - $28.00/hr.
