Job Description
We are seeking an experienced Accounts Receivable Specialist to join our team. In this role, you will work closely with Project Managers to prepare and process Time and Material (T&M) and AIA billings, and interface invoices in Viewpoint. You will be responsible for reconciling customer account statements, preparing and processing credit memos, and executing conditional and partial lien waivers. The role involves handling an average volume of 500-800 invoices monthly, ensuring all invoices are reviewed for appropriate documentation and approval prior to processing. You will maintain files and documentation thoroughly and accurately according to company policies and assist with other projects as assigned.
Responsibilities
+ Collaborate with Project Managers to prepare and process T&M and AIA billings.
+ Interface invoices in Viewpoint software.
+ Reconcile customer account statements.
+ Prepare and process credit memos.
+ Prepare and execute conditional/partial lien waivers.
+ Handle an average volume of 500-800 invoices monthly per person.
+ Review invoices for appropriate documentation and approval prior to processing.
+ Maintain thorough and accurate files and documentation in accordance with company policy.
+ Perform routine filing and document scanning to the network.
+ Assist with additional projects as assigned.
Essential Skills
+ 2-3+ years of experience in Accounts Receivable.
+ High volume billing experience (800-1200 invoices monthly).
+ Proficiency in following guidelines for collecting and applying money, statements, lien waivers, and PO numbers.
+ Strong customer/vendor relationship management skills.
+ Excel proficiency.

+ High school diploma required; Associates or Bachelor's degree in Accounting or Finance preferred.
+ Exposure to large ERP systems (Viewpoint) and/or Accubid Time and Material software preferred.
+ Experience in the construction industry preferred but not required.
Work Environment
The position is on-site for the first 9 months, with hybrid flexibility offered depending on performance thereafter. Work hours are Monday to Friday, during normal business hours. The pay range for this position is $28.84 - $31.25/hr.
