Accounts Receivable Coordinator

Position Overview

We are looking for a detail-oriented Accounts Receivable Coordinator to oversee the reporting and processing of royalty income. This role is responsible for monitoring aging reports across multiple entities, preparing financial updates for the accounting team, and supporting ad hoc analyses for special projects. You will investigate invoice discrepancies, generate revised invoices once issues are resolved, and collaborate closely with project managers to ensure accurate and timely billing.

Key ResponsibilitiesLead and support collection efforts, tailoring client communication primarily via email.Prepare collections reports, analyze outstanding vs. paid invoices, and develop customized collection strategies for each client.Proactively anticipate upcoming collection needs and adjust outreach accordingly.Conduct monthly meetings to provide summaries and cash flow updates to the CFO.Assist in all aspects of client billing processes.Essential Skills & ExperiencePrior experience in accounts receivable, aging report management, and billing collections.Proficiency with Deltek Vision/Vantagepoint.Strong Excel capabilities (e.g., pivot tables, VLOOKUPs, data analysis).Experience in billing/collections within the AEC (Architecture, Engineering & Construction) industry preferred.Ability to perform detailed invoice analysis and reconciliation.Additional QualificationsExcellent interpersonal and communication skills, with the ability to interface directly with design leaders and other stakeholders.Comfortable learning and adapting to new technologies and systems.Bachelor’s degree in Accounting required.Work Environment

This role begins with 5 days per week in-office for initial training. After ramp-up, the position will shift to a hybrid schedule of 4 days in-office and 1 day remote, based on team coverage needs. Please note that in-office requirements may return to 5 days in the future.

You’ll have the opportunity to work within a global architecture and design firm and contribute to high-impact projects with significant organizational visibility.

This is a Contract to Hire position based out of New York, NY.

Pay and Benefits

The pay range for this position is $33.00 - $40.00/hr.
