Job Description
As an Accounts Payable Specialist, you will own the end-to-end Accounts Payable process to ensure vendors are set up correctly, invoices are captured and coded accurately, and payments are made on time. You will partner closely with Purchasing, Receiving, Inventory Control, and Accounting teams.
ResponsibilitiesPerform 3-way match (PO/receipt/invoice) for inventory purchases, including partials and backorders.Enter non-PO invoices such as utilities and services with proper GL and department coding.Validate pricing, quantities, terms, freight, and surcharges; research and resolve variances with Purchasing and Receiving.Set up new vendors and maintain vendor records including terms.Reconcile monthly vendor statements; resolve credits, short-pays, and unapplied cash.Manage the shared inbox and respond to inquiries promptly.Create new customer job accounts upon request.Prepare weekly payment runs including ACH, checks, and credit cards; capture early-pay discounts.Process credit notes, restocking fees, and return authorizations accurately.Maintain strong internal controls and complete documentation; implement AP process improvements.Partner with Purchasing and Receiving on exceptions and RTVs.Coordinate with the Controller and COO on mapping and system changes.Essential SkillsExperience handling around 400-600 invoices monthly in Accounts Payable.Proficiency in three-way matching (PO/receipt/invoice) in Epicor and QuickBooks.Strong Customer Service skills for vendor management.Ability to manage credits and returns efficiently.Competence in providing feedback on process improvements.Strong understanding of invoice coding, GL account assignment, and departmental allocations.Familiarity with ACH, check, and credit card payment processing.Ability to manage shared inboxes and respond to inquiries professionally.Additional Skills & QualificationsAssociate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.3+ years of experience in Accounts Payable or general accounting.Experience with Epicor or similar ERP systems is highly desirable.Detail-oriented with strong analytical skills to resolve discrepancies.Excellent written and verbal communication skills.Proven ability to collaborate cross-functionally with various teams.Work Environment

Pay and Benefits
The pay range for this position is $26.00 - $30.00/hr.
