Job Description
Join our dynamic team as an Accounts Payable Specialist where you will play an integral role in managing and tracking outgoing payments. This position requires strong communication skills to facilitate internal best practices for invoice submissions and to support the reduction of AP aging. You will be responsible for handling both PO and Non-PO invoicing, identifying duplicate payments, and processing invoices using Coupa and Oracle. Additionally, you will coordinate urgent payments with cross-functional teams and work closely with outsourced partners. This role will start as a 6 month contract.
ResponsibilitiesTrack outgoing payments through payment registers, invoice validation, and spend guard analysis on Coupa for duplicate invoices.Communicate internally using both oral and written methods to promote best practices for submitting invoices.Support the reduction of AP aging.Process PO/Non-PO invoicing and identify duplicate payments.Assist in striving for OTP report accuracy.Process invoices on Coupa and Oracle, utilizing More4Apps for high volume invoice uploads.Review the ServiceNow queue and resolve issues as a backup within the invoice processing department.Coordinate urgent payments with cross-functional teams.Collaborate closely with outsourced partners.Support AP Aging reconciliation by investigating aged entries in Oracle to identify necessary actions for resolving overdue invoices or credit memos.Coordinate month-end high-value invoice entries with the Ops Accounting team.Act as a backup within the invoice processing department.Fulfill ad hoc requests and additional responsibilities as assigned by the AP Supervisor or Manager.Essential SkillsAt least 2 years of Canadian AP experience with a solid understanding of the accounts payable lifecycle.Proficiency in Excel, including v-lookups and pivot tables.Experience with ERP systems such as SAP, Oracle, and NetSuite.Familiarity with Oracle, Coupa, and ServiceNow.Additional Skills & QualificationsExperience in the retail industry is a plus.Experience with multi-currency invoices is advantageous.A positive and hardworking attitude.Excellent verbal and written communication skills, particularly when interacting with director and VP-level stakeholders.Attention to detail, especially when coding does not match tickets.A high degree of initiative and a team player mindset.Willingness to seek guidance and ask for help.Work Environment
You will be working at our Burrard Street location, initially spending 5 days in the office for training. Once trained, you will work 4 days in the office, with the flexibility to choose one remote working day, except for Wednesdays, which require in-office attendance. You will be part of a team of 3-4 other AP clerks, within a larger team of about 10 people. The environment is collaborative, engaging, and encourages open communication. Pay and BenefitsThe pay range for this position is $22.00 - $24.00/hr.
