Accounts Payable Representative
Job Description

We are seeking a highly organized and proactive Accounts Payable Specialist to join our finance team within a dynamic construction environment. This role is ideal for someone who thrives in a fast-paced setting, has a strong understanding of construction job costing, and is comfortable managing a high volume of invoices and vendor communications.


Key ResponsibilitiesAccounts Payable & Invoice ManagementProcess 40–50 invoices daily, with approximately 80% received via email and 20% by mail.Enter trade payables into the Accounts Payable system accurately and efficiently.Match vendor invoices to purchase orders and paid details.Research and resolve discrepancies related to purchase orders and vendor invoices.Enter construction-related invoices and understand progress billing.Process purchases made on company credit cards and ensure proper documentation.Run checks and process credit card payments to vendors.Vendor & Purchase Order CoordinationAnswer and manage the PO Hotline for internal and external inquiries.Create purchase orders and link them to work orders and construction jobs.Place orders with vendors and follow up on unbilled items.Call vendors and subcontractors to request outstanding invoices.Conduct vendor invoice research and resolve billing issues.Work Order & Job Costing SupportEnter parts and materials onto service work orders.Assist with overhead processing, including entry of parts into work orders and vendor payments.Ensure accurate job costing and allocation of expenses to appropriate construction projects.Administrative & Front Desk SupportProcess incoming and outgoing mail related to AP functions.Provide rotational front desk coverage (approximately 3 times per day).Work closely with the CFO on financial and administrative tasks.Required Skills & Qualifications2+ years of experience in Accounts Payable, preferably in a construction or job-costing environment.Proficiency in invoice processing, purchase order management, and vendor communications.Strong attention to detail and ability to manage multiple priorities.Excellent communication and organizational skills.High school diploma or equivalent required.Preferred SkillsExperience with Ascent ERP or similar accounting software.Basic proficiency in Microsoft Excel (sorting, filtering, data entry, pivot tables).Familiarity with construction job costing and progress billing.

Pay and Benefits

The pay range for this position is $25.00 - $28.00/hr.
