Job Description

We are seeking a detail-oriented Accounts Payable Coordinator to join our team. This role requires a strong focus on clerical work and data entry, with responsibilities including processing a high volume of invoices, as well as filing and organizing these documents internally. The position is critical as we are currently experiencing a backlog in our processes due to a recent resignation.

ResponsibilitiesProcess invoices for payment, ensuring supporting authorization and documentation are included, and applying appropriate ledger coding.Review invoices and reconcile any discrepancies using a three-way match system.Maintain organized and accessible filing systems for all documents.Communicate effectively with vendors in relation to accounts payable functions.Perform vendor check runs as needed.Reconcile account statements monthly and prepare corresponding status reports.Manage the accounts payable aging for assigned vendors to ensure timely and accurate processing of invoices and credits.Process and record retention of returns for assigned vendors.Participate in bi-weekly team meetings and contribute ideas for process improvements.Essential SkillsExperience in accounts payable and invoice processing.Proficiency in clerical tasks and data entry.Ability to process at least 30 invoices weekly, ideally 50-60.Proficiency in Microsoft Excel, including data entry, formulas, and pivot tables.Understanding of three-way match, accounts receivable/payable, vendors, check runs, and purchase orders.Additional Skills & QualificationsMinimum of a High School Diploma.At least one year of experience in a relevant field, ideally in retail processing.Basic skills in Microsoft Word.Experience with proprietary systems (Convergent) is a plus.Work Environment

The work environment is business casual, with a supportive team culture likened to a big family, where team members average over 10 years of tenure. The accounting team comprises roughly 12 people, with 4 specifically in the accounts payable team. The office setting includes large cubicles in a lively area without windows, fostering a fun atmosphere with celebrations of birthdays and holidays. The company operates from an older headquarters utilizing a 2000's ERP system (Convergence), involving a significant amount of paper transactions.

Pay and Benefits

The pay range for this position is $20.00 - $22.00/hr.
