Accounts Payable Clerk (Billing)
Accounts Payable/Billing Specialist Job Description The Accounts Payable & Billing Specialist will be responsible for managing all aspects of corporate accounts payable. The primary focus will be on processing and paying invoices that will be billed to a portfolio of over 100+ subsidiaries in the United States. The role includes preparing, posting, and reconciling all intercompany billings associated with invoices processed through accounts payable. Responsibilities + Track and process all incoming invoices to the corporate office related to hotel reimbursements, ensuring accuracy of invoices and proper sales tax treatment. + Verify coding and ensure intercompany allocation is prepared correctly. + Input invoices into accounting software, scan & systematically link invoices, and distribute to discipline heads for review and approval. + Post intercompany billing entries or applicable accounts receivable billing entries. + Prepare authorized invoices for payment to vendors by creating check runs, providing organized backup with check detail reports for approval, printing checks, and maintaining electronic filing systems. + Input all wire and ACH payments made in lieu of checks through the accounts payable module. + Review and reconcile vendor statements, resolving any outstanding invoices. + Maintain a database to track recurring invoices on a monthly, quarterly, and annual basis. + Collaborate with various hotel personnel, corporate staff, municipal authorities, and external parties to stay current with standard operating procedures related to accounts payable and billing. + Obtain information and track details related to acquisitions or divestitures of hotels for billing accuracy. + Prepare monthly intercompany balance sheet reconciliations. + Assist with year-end procedures including tax and audit requests. + Work with the corporate accounting and finance team on ad hoc projects and special assignments. Essential Skills + Five or more years of relevant experience in accounts payable/accounts receivable preferred. + Proficiency in manual billing, invoicing, accounting, invoice processing, reconciliation, and credits. + Experience with Oracle, Oracle Fusion, Oracle Cloud, and Microsoft Excel. + Knowledge of purchase order and invoice entry processes. Additional Skills & Qualifications + Proficiency with the standard suite of Microsoft Office applications, especially Excel. + Working knowledge of Oracle is advantageous. Pay and Benefits The pay range for this position is $25.00 - $29.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
