Job Description
As an Accounts Payable Associate, you will play a crucial role in the financial operations by preparing invoices for payment, answering vendor inquiries, and maintaining accounting ledgers. This position requires a strong attention to detail and the ability to work collaboratively in a team environment.
ResponsibilitiesPrepare all invoices for payment.Answer vendor inquiries promptly and professionally.Prepare accounts payable checks, EFTs, and online payments.Reconcile processed work by verifying entries and comparing system reports to balances.Charge expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries.Pay vendors by monitoring discount opportunities, verifying federal ID numbers, scheduling and preparing checks, resolving purchase order, contract, invoice, or payment discrepancies and documentation, ensuring credit is received for outstanding memos, and issuing stop-payments or purchase order amendments.Pay employees by receiving and verifying expense reports and preparing checks.Maintain accounting ledgers by verifying and posting account transactions.Verify vendor accounts by reconciling monthly statements and related transactions.Maintain historical records by scanning and filing documents.Coordinate bank activities relating to payables.Place orders for office supplies and maintain proper inventory levels.Protect organization's value by keeping information confidential.Assist the Controller in special projects, accounts receivable, and perform administrative duties.Work collaboratively in a team environment with a spirit of cooperation.Respectfully take direction from the supervisor.Provide internal and external customer support by phone, email, and messaging.Perform other duties as assigned.Essential SkillsAdministrative supportData entryCustomer serviceProficiency in Microsoft OfficeExperience with accounts payableQuickBooks proficiencyAdditional Skills & QualificationsAttention to detailOrganized and analyticalProficient math skillsExcellent customer serviceEffective communication skillsTechnology skills: Microsoft Teams, Great Plains Dynamics, QuickBooks DesktopAbility to learn new software1-5 years of administrative experience in a similar roleExperience with accounts payable preferredAssociates or Bachelor's degree in accounting, finance or related field, or equivalent combination of education and experienceDirect communication style and ability to work independentlyWork Environment
You will be part of a team including a controller, accounts receivable, outsourced bookkeeping, and accounts payable. The role requires working onsite three days a week in Portland (NE Portland) and other days in Tualatin.
Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
