Job Description
We are seeking an experienced Admin Generalist/Accounts Payable professional to join our team. The ideal candidate will be responsible for preparing all invoices for payment, answering vendor inquiries, and managing accounts payable checks, EFTs, and online payments. This role requires a detail-oriented individual with excellent organizational skills and the ability to analyze information effectively.
ResponsibilitiesPrepare all invoices for payment and manage accounts payable checks, EFTs, and online payments.Answer vendor inquiries and resolve discrepancies related to purchase orders, contracts, invoices, or payments.Reconcile processed work by verifying entries and comparing system reports to balances.Analyze invoice and expense reports to charge expenses to accounts and cost centers accurately.Monitor discount opportunities and verify federal ID numbers for vendor payments.Receive and verify employee expense reports and prepare checks accordingly.Maintain accounting ledgers by verifying and posting account transactions.Verify vendor accounts by reconciling monthly statements and related transactions.Maintain historical records by scanning and filing documents efficiently.Coordinate bank activities related to payables and manage office supply orders to ensure proper inventory levels.Protect organization's value by keeping information confidential.Assist the Controller in special projects, accounts receivable, and perform administrative duties.Provide internal and external customer support via phone, email, and messaging.Work collaboratively in a team environment with a spirit of cooperation and take direction respectfully from supervisors.Perform other duties as assigned.Essential SkillsStrong administrative support and data entry skills.Excellent customer service abilities.Proficiency in Microsoft Office and QuickBooks.Ability to learn new software quickly.1-5 years of administrative experience in a similar role.Experience with accounts payable is preferred.Associates or Bachelor’s degree in accounting, finance, or a related field, or equivalent combination of education and experience.Additional Skills & QualificationsAttention to detail and organized.Ability to analyze information effectively.Proficient math skills.Direct communication style and ability to work independently.Technology skills including Microsoft Teams and Great Plains Dynamics.Work Environment
The role involves working onsite 3 days a week (Monday, Wednesday, Friday) in Northeast Portland and other days in Tualatin. The work environment includes collaboration with the controller, accounts receivable, outsourced bookkeeping, and accounts payable teams. Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
