Accounts Payable Administrator
Job Title: Accounts Payable Administrator Job Description We are seeking a part-time Accounts Payable Administrator and Office Assistant to join our team. This role requires a proactive individual who can assist with various accounting activities and office tasks. The position is designed to backfill a current employee, ensuring smooth operations within our office. Responsibilities + Assist with all accounting activities, including accounts payable, timecard entry, project file maintenance, employee records, and benefit maintenance. + Secure approval for job-related invoices and enter, scan, and code all invoices through QuickBooks. + Prepare and send tax-exempt forms. + Gather timecards and enter information into QuickBooks. + Enter HR notes and paid time off in QuickBooks and process time off requests. + Manage applications and new hire packets, and communicate with employees to maintain current addresses and withholding. + Complete and post OSHA forms, maintain insurance forms and W9s, and maintain SDS books. + Restock first aid kits. + Create and maintain project files and update the current jobs list. + Type customer quotes and distribute them via email, scan, or mail. + Retrieve daily mail from the post office, deliver bank deposits, and run errands as requested. + Perform miscellaneous office tasks, such as copying, scanning, answering phones, filing, and organizing blueprints. Essential Skills + 1-3 years of experience in bookkeeping,. + Familiarity with Microsoft Outlook, Excel, and Word. + Beneficial knowledge of QuickBooks. + Strong time management and organizational skills. Additional Skills & Qualifications + 6 months to 1 year of experience in an administrative role, with accounts payable experience preferred. + A proactive, detail-oriented, and go-getter attitude. + Capability to correct and catch mistakes. + Desire to learn and improve skills. Work Environment The role requires approximately 25-30 hours per week, with flexible working hours from 8:00 AM to 1:00 PM, Monday through Friday. The position is 100% onsite. The office environment is casual, with a dress code of jeans and a nice shirt, but no shorts. The company fosters a family-friendly atmosphere, emphasizing flexibility and prioritizing family needs. Local candidates are preferred, although commuting from Lincoln three days a week is acceptable Pay and Benefits The pay range for this position is $19.00 - $20.00/hr.
