Job Description

We are seeking a dedicated Accounting Specialist to join our team, focusing primarily on accounts payable with additional responsibilities in accounts receivable. This role involves updating and maintaining records of expenditures, preparing check runs for vendor payments, and responding to inquiries from vendors and customers. The successful candidate will coordinate with Human Resources on time records and employee-related paperwork, process employee expense reports, and handle invoices for vendors and customers. The role requires sensitivity to confidential information, prioritization of multiple assignments, and adaptability to changing priorities.

Responsibilities

Update and maintain records of expenditures, including payroll, purchase orders, invoices, and statements using the company ERP system.Prepare check runs to pay vendors, including data input, reconciliation, printing, copying, and mailing.Respond to vendor and customer inquiries.Enter daily labor tickets into the labor collection system for payroll and general ledger purposes.Coordinate with Human Resources on time records and employee-related paperwork.Review and process employee expense reports.Process and prepare invoices to be sent to vendors and customers.Maintain accurate records of outstanding payables.Resolve payment discrepancies and disputes on behalf of the company.Handle confidential or specialized information with sensitivity.Prioritize multiple assignments and adapt to changing priorities.Assist Human Resources with paperwork and timecards.Perform other related projects and duties as assigned.

Essential Skills

Minimum 3–5 years of solid accounts payable experience.ERP system experience required; Epicor preferred.Basic understanding of Excel functions.Full-cycle accounts receivable knowledge including invoicing, billing, collections, and payment posting.Detail-oriented with strong follow-up capabilities.Ability to troubleshoot discrepancies.Clear communication with vendors and internal teams.

Additional Skills & Qualifications

Experience in manufacturing industry is a plus.Experience with manual processes and paper receipts.Ability to work well under a fast-paced, action-oriented leadership style.Collaborative and coachable with a 'get-it-done' culture.Experience in payroll and manufacturing accounting is beneficial.

Job Type & Location

This is a Contract to Hire position based out of Carlsbad, CA.

Pay and Benefits

The pay range for this position is $28.00 - $35.00/hr.
