Accounting Coordinator
Job Title: Accounting CoordinatorJob Description

This role primarily involves providing accounting support with an emphasis on processing accounts payables and receivables, managing billing activities, and maintaining accurate financial records. Additionally, the position includes human resources support duties, such as assisting with employee onboarding and maintaining compliance with company policies.

ResponsibilitiesProcess accounts payables and accounts receivable, including invoice entry, payment tracking, and vendor communication.Perform billing activities such as preparing customer invoices, reconciling payments, monitoring outstanding balances, and collecting overdue accounts receivables.Prepare, review, and distribute statements, ensuring accuracy, completeness, and alignment with contractual terms.Investigate and resolve fee discrepancies, including corrections, adjustments, and address root causes to prevent recurring issues.Participate in month-end, quarter-end, and year-end close processes, including reconciliations and audits.Contribute to the implementation and enhancement of billing systems, processes, and controls to improve accuracy, efficiency, and scalability.Support monthly, quarterly, and year-end financial reporting by gathering data, preparing summaries, and assisting with reconciliations.Maintain accurate financial records in accounting software and internal databases.Coordinate with external accountants for audits, tax filings, and year-end processes.Work with external accountant, company president, and CFO to provide necessary documentation for annual valuations.Maintain and update Deltek Ajera codes and data.Assist with employee onboarding including paperwork, system setup, and orientation scheduling.Maintain employee records ensuring confidentiality and compliance with company policies.Assist with HR compliance tasks such as policy updates and training.Act as a liaison between PEO and the company by assisting employees navigate benefits programs.Support payroll preparation by collecting timesheets, verifying hours, and updating employee information.Draft and post job descriptions, screen candidates, schedule interviews, and support the recruitment process.Attend job fairs and on-site training events.Manage labor posters subscriptions, ensuring electronic and physical posters are compliant for all locations.Essential Skills3+ years of full cycle accounting experience including month-end, reconciliations, and invoicing.Proficiency in ERP software such as Deltek, Netsuite, or BQE, preferably within architecture/engineering systems.Strong skills in reconciliation, accounts payable, accounts receivable, general ledger, and reporting.Proficiency in Microsoft Excel and Microsoft Office.Additional Skills & QualificationsHigh School Diploma required.Bachelor's or Associate's Degree in Accounting, Finance, or a related field preferred.Experience with A&E specific software is a plus.Work Environment

The company operates from three office locations: Alexandria, Sauk Rapids/St Cloud area, and Minneapolis. Approximately 60-70% of the company works remotely. This role will start as more in-office/hybrid and will transition to more remote work as the candidate becomes comfortable with the responsibilities. The organization consists of 38 individuals, and payroll is outsourced and managed by a PEO. Pay and Benefits

The pay range for this position is $28.84 - $38.46/hr.
